The challenge of the IT department is to provide the company’s employees with a work environment conducive to collaboration and productivity. The main and universal tool is the workstations: desktop or laptop PCs. Inside, powerful and intuitive software. Providing the right tools is not the most complicated part. The most difficult part is to provide a smooth working environment without slowness.
PC slowness is one of the main complaints reported by users. How many times have you heard your employees complain about the slowness of their computers? Or tell you that in the morning, they first turn on their PC and then go for a coffee for 15 minutes while their computer is turned on? Probably thousands of times …
In this article, we will give you some ideas on how to provide high-performance workstations to your users, via some cleaning routines.
This is the main problem of Windows, Microsoft’s operating system: fragmentation. We all see it, a Windows PC, after a few months, starts to slow down. Yet the hardware is new. The fact is that the hard disk fills up as software is installed and files are added. Very quickly, the hard disk gets full and each addition of files or software becomes a pain for the system.
The hard drive turns into a real Swiss cheese, causing extra work for the read heads and reducing performance in terms of transfer rates.
Windows 10 regularly and automatically defragments workstations. If you have a large part of your computer park on this OS, it’s a good thing. However, check that the option is not disabled in the “Defragment and Optimize Drives” application. Indeed, it can be, especially if you use SSD disks that should not be defragmented. However, hard disks should be defragged regularly.
Cleaning workstations with the Windows 10 Storage Wizard
Once again, having the latest version of Microsoft’s operating system (Windows 10) can be very important, beyond the security aspect. Indeed, Windows 10 includes a storage wizard that will allow you to clean the hard disks of your computer park.
Windows 10 storage and disk space management is done in the Windows 10 > System settings.
Here is what you can clean :
- the log files of the Windows Upgrade ;
- the error report files ;
- critical files not used by Windows Defender antivirus ;
- thumbnails (images) of media files stored by Windows despite their deletion;
- the recycle garbage can;
- temporary files.
Junk files that you can clean to free up disk space. This cleaning can be done manually, but it can also be done automatically.
In the Storage Wizard, you can define automatic cleaning periodically: every day, every week, every month or whenever Windows deems it necessary.
Anticipate the surplus of software and plugins
What can cause slowdowns is excess software and browser plug-ins. Many users will want to test the latest software they hear about. Browser plugin stores offer thousands of add-ons promising incredible functionality. The problem is that these extra layers quickly degrade desktop performance.
Even worse, we often find unused or duplicate software and plugins (3 adblockers for example …). It is then a matter of uninstalling them and making users aware of the harmful side of such actions on their work environment.
Better still, it is necessary to anticipate it. Many CIOs are already doing it, but this decision is not universally accepted: you need to restrict users’ rights so that they simply cannot install new software or add plugins to their browsers. If they have a need, they will have to make a request to the IT department.
Simple but effective!
This is the box we all have to go through: formatting workstations or resetting them. This is the most radical but also the most efficient technique. Resetting the PC to 0 will allow you to regain the performance you had on the first day.
Depending on the speed at which workstations see their performance degrade, a routine must be established and workstations must be formatted every 6 months or every year, for example. Of course, there will have to be a rotation because it will not be possible to format the workstations every 6 months or every year.
It is therefore necessary to have a stock of workstations to provide to users while theirs is being refurbished. If we want to format each workstation every 6 months, it will be necessary to format about 16% of the workstations each month.s This means that 16% more workstationwill be needed to provide a temporary PC to each user who sees his or her PC leave for cleaning. Imagine the cost of storage and provisioning…for a large company!
Not simple, but essential.
ceBox®, a new PC every morning
The technology imagined by Wisper will allow you to offer each of your users a new workstation every morning. The workstation will have been formatted as soon as the machine is shut down and will start the next day in the configuration provided by the IT department: the OS and applications will therefore be identical to the previous day.
You will no longer have to worry about temporary files, fragmentation, unnecessary software and plug-ins, and formatting. Even better, malware will also be permanently removed.
The benefits are many. For your users, it means high-performance workstations over time. No slowdowns after a few months since the system will finally only have a few hours of life. Of course, the ISD will be able to update the image of the workstations to make software additions or security updates and patches.
For the IT department, this means that maintenance time is reduced to a strict minimum, allowing your teams to focus on higher value-added projects.
The ceBox® solution is a centralized workstation management solution offering great flexibility, it is possible to update your entire fleet in just a few clicks.
